Business automation for the jobs that eat your evenings. We connect the tools you already use, so leads and invoices move along on their own. Reminders and follow-ups stop living in your head.
What’s included
One workflow built and tested, with a one-page guide
“I copy every web form into a spreadsheet by hand.”
“Invoices go out late because I only get to them on Sunday night.”
“I always forget to ask happy customers for a review.”
“My team hears about a new order when the customer calls to ask where it is.”
“Every Monday I spend an hour pulling numbers out of four different apps.”
“Someone set up a Zapier thing years ago. It broke, and nobody knows how it worked.”
What we set up
Small, sturdy connections between the apps you already pay for. Most of this needs no AI at all, just good plumbing. Where a bit of AI truly helps, like sorting messages or drafting a reply for you to check, we add it.
A map of your busywork
We list the tasks you repeat each week, how often they come up and what goes wrong when they slip. Then we pick the first one together.
Connections between your apps
Your forms and email, calendar, invoicing, spreadsheets, customer list, team chat. We connect them so information is typed once and shows up everywhere it’s needed.
The right tool for the job
Zapier for quick, simple connections. Make for jobs with more steps. n8n when you’d rather run it on a server you control. Google Workspace when your business already lives in Gmail, Sheets and Drive.
Alerts when something fails
If an app changes or a step fails, you or we get a note right away, instead of finding out a month later.
Plain-English instructions
A one-page guide for each workflow. It says what the workflow does and where it starts, and how to pause it. Anyone on your team can follow it.
Everything in your name
The Zapier or Make account is yours, and so is the Google account. We work with the access you give us, so nothing is stuck with us.
Looking after it
Apps update and things drift. With monthly care, we check your workflows and fix what breaks. When your routine shifts, we adjust the workflow to match.
How it works
1
List the busywork
45–60 minutes
A call to walk through your week and the tasks you’d love to stop doing. We rank them by time saved and by how much it hurts when they slip.
2
Plan the first workflow
1–2 days
A short written plan: what starts it and each step after, the apps involved, the price. It also says how much time it should save you.
3
Build and test
3–7 days
We build it in your accounts and run real examples through it, including the messy ones, like a form with a missing phone number.
4
Hand over and watch
2 weeks
You get the one-page guide and a short walkthrough. We watch the first weeks of runs and fix anything that trips.
5
Add the next one
When you’re ready
When the first workflow has proved itself, we look at the next task on your list.
Tasks worth automating first
Good first picks happen often and follow the same steps every time. They also cause trouble when someone forgets. These are common places to start.
New lead, to your list, to your phone
A form comes in, the details land in your customer list, and you get a text with the name and what they need.
Invoices and payment reminders
The invoice goes out when the job is marked done, with friendly reminders if it’s still unpaid a week later.
Review requests
A day after the visit, every customer gets a short thank-you with a link to your Google review page. We ask everyone, with no gifts or discounts, because Google’s rules don’t allow picking only happy customers or paying for reviews.
Appointment reminders
Confirmations and reminders sent from your calendar, so nobody at the front desk makes reminder calls. Texts go only to people who agreed to get them.
Your weekly numbers in one email
One short Monday email. It pulls your new leads and bookings from your different apps, together with the week’s sales and reviews.
A welcome for new customers
The moment someone signs on, their intake forms and a welcome email are ready. So is a shared folder in Google Drive.
New orders, straight to the team
A new order or booking posts to your team chat or a shared sheet, so the right person sees it without anyone forwarding emails.
Files where they belong
Attachments from your email land in the right Drive folder, named the same way every time. Think receipts and job photos.
What it costs
Starting at$750 per workflow
The starting price covers one workflow: planning, building it in your accounts, testing with real examples and the one-page guide. Monthly care for your workflows is optional. App plans, like Zapier or Make, are billed to you directly by those companies.
It means letting your apps pass work to each other, so a task that used to need you happens on its own. A form fills in your spreadsheet, a finished job sends the invoice, a booking sends the reminder. You still set the rules.
Zapier, Make or n8n: which one is right for me?
Zapier is the easiest for simple jobs. Make handles longer workflows with more steps. n8n can run on a server you control, which suits owners who want to keep their data closer to home. We pick based on your apps and your budget, and on how often things run. You’ll get the reasoning in plain words.
Do I need AI for automation?
Usually not. Most busywork is a simple “when this happens, do that.” We add AI only where it really helps, like sorting incoming emails or drafting a reply for you to check.
Who pays for Zapier or Make?
You do, directly, in your own account. That way you own your workflows, and nothing stops working if we part ways. Many simple setups fit on a free or entry-level plan, and we’ll tell you which plan you need.
What happens when an app changes and a workflow breaks?
You’ll know quickly, because we set up alerts for failed steps. With monthly care we fix it for you. Without it, we can fix it as a one-off job.
Can you fix automations someone else built?
Yes. We look at what’s there and write down what it does. Then we either repair it or rebuild it more simply. You get the one-page guide either way.
How long does one workflow take to set up?
Most take one to two weeks from plan to launch. Bigger ones take longer, especially with many apps or messy records. We’ll tell you before we start.
Is my information safe passing through these tools?
We connect only the apps a workflow needs and give each one only the access it needs. Accounts stay in your name, and you can switch any workflow off with one click.
