When someone fills out your form, they get a friendly reply by text or email within a minute, a couple of quick questions and a clear next step. You get their answers and a heads-up to call.
What’s included
Instant text and email replies, with a handoff to you
“Leads come in while I’m on a job, and I don’t see them until night.”
“By the time I call back, they’ve already hired someone else.”
“Half the form leads are just a name and a number, and I don’t know what they want.”
“We pay for ads, and then the leads sit in an inbox.”
“I keep meaning to follow up a second time, and I never do.”
“Texts from our business number suddenly stopped going through.”
What we set up
A simple system that replies for you in the first minutes, gathers the details you need, and puts a real person, you, on the line when it matters.
An instant first reply
A short, warm text or email that mentions what they asked about, says when you’ll be in touch and offers a time to talk. It goes out whether it’s noon or 2 a.m.
A few questions, asked kindly
What do you need, where are you, and how soon? Two or three questions in your words, so you know who to call first.
A handoff to you when it’s hot
When a lead is ready, or asks for a person, you get a text with their answers and a one-tap button to call them back.
One polite check-in
If someone goes quiet, a single friendly nudge a day or two later. No endless stream of messages, and it stops the moment they reply or opt out.
Every lead in one list
Each lead and its answers land in your customer list, whether that’s a CRM (an app for tracking customers) like HubSpot or a shared Google Sheet. Nothing lives only in someone’s inbox.
Texting set up by the rules
A consent checkbox on your forms, registration of your texting number with the carriers, and STOP to opt out, all in place before the first text goes out.
How it works
1
Map where leads come from
1–2 days
Website forms, booking requests, lead forms from your ads. We look at where each one lands today and how long the first reply really takes.
2
Write the messages together
2–3 days
The first reply, the questions and the check-in, written in your voice. You approve every word.
3
Register your texting number
Days to weeks
We file the carrier registration for your business texting. The carriers review it on their own schedule, which can take from a few days to a few weeks, so we start early.
4
Connect and test
3–5 days
We connect your forms, the texting and email service and your customer list, then send test leads through until every path works.
5
Go live and fine-tune
4 weeks
For the first month we watch reply times and answers, reword anything that confuses people and show you what came in.
Texting by the rules
A text is the fastest, most personal way to reach a new lead. It also comes with real rules, so we build them in from day one.
Consent comes first
Texts go only to people who said yes. The TCPA, a federal law on calls and texts, puts consent at the center, so your forms get a clear checkbox, never pre-checked, that says what texts to expect. Without a yes, the reply goes by email.
Your number gets registered
Business texts from a regular 10-digit number have to be registered with the phone carriers. That’s called A2P 10DLC, short for business-to-person texting from a local number. Unregistered texts get blocked, so we do the paperwork before launch.
STOP always works
The first text says how to opt out. Reply STOP and the texts end, with one short confirmation. Words like QUIT, CANCEL and UNSUBSCRIBE work too.
Polite hours
The first reply goes out right away, because the customer just asked. Any later check-in waits for daytime hours, not 11 p.m.
A record of every yes and no
We keep a log, in your accounts, of who agreed to texts, when and how, and who opted out. If anyone ever asks, you have it.
This is general information, not legal advice. Some industries have extra rules about contacting customers, so check with your lawyer if you’re unsure.
What it costs
Starting at$1,000
Plus from $100/month and messaging fees
The starting price covers setup: the messages and questions, connecting your forms and customer list, the texting registration paperwork and testing. A monthly fee covers care and changes. Texting fees from the messaging service and the carriers are separate and depend on how many texts you send.
Usually within a minute of the form being sent, day or night. The goal is simple: reach the customer while they’re still thinking about you.
Is it legal to text people who fill out my form?
It can be, when they agree to it. We add a clear, unchecked consent box to your form, register your texting number with the carriers and make STOP work in every conversation. This is general information, not legal advice; for your exact case, ask your lawyer.
What is A2P 10DLC?
It’s the carriers’ registration for businesses that text from a regular local number. You register your business and the kind of texts you send. Without it, carriers block the texts, so we fill it out with you.
What happens when someone replies STOP?
Texts to that person stop, and they get one short confirmation. Their opt-out is saved, so no later step texts them by accident.
Will customers know the replies are automated?
The messages are short and in your voice, and they don’t pretend to be you typing. When a real conversation is needed, you step in, and the customer can always reply to reach a person.
Which lead sources can it answer?
Website forms, booking requests and lead forms from ads, such as Google or Facebook lead forms, as long as the source can pass the lead along. We check each one before we quote.
Can it book an appointment too?
Yes. The first reply can include open times from your calendar. Our online booking page shows how that part works.
Do I need a CRM?
No. Leads can go into a shared Google Sheet or the customer app you already have. If you want a proper customer list later, we can help you set one up.
